This is our most popular service taken up. We appreciate property is most people’s most prized asset and understand it requires devote attention. The reality of life is such that you may not be able to tender the amount of attention necessary for the effective management of a property and its tenancies whilst taking care of other commitments. We are your solution and have been the solution for many of your friends in similar positions – this is why:

In addition to everything stated on our Let Only page we...

  1. Prepare an inventory and schedule of condition (at an additional charge). Where we manage a property it is a requirement that an inventory is prepared whether through Brixanne Morter, the Landlord, or a third party company. Where using Brixanne Morter’s assured shorthold tenancy agreement, the Landlord is responsible for the cost of the inventory & check in and the tenant is responsible for the cost of the check out. Where we instruct a professional inventory clerk on your behalf, we cannot accept any liability for any errors or omissions of such a clerk.
  2. We will notify all utility companies of consumer account changes (where possible) provided we have been given the names, account details and addresses of each supplier. You should note some suppliers will only take instructions from the owner. In this case transfer of the account out of your name will be your responsibility.
  3. We will notify the local authority of the change of occupant for the purposes of council tax liability.
  4. Arrange on your behalf one full set of keys for each signatory to the Tenancy Agreement and one full set for our Property Maintenance Department for emergency situations, at your expense. Our key system is such that the key is identifiable only by our firm anybody else will not know what property it is for therefore if keys are lost or misplaced by us, we can only be held liable for the cost of a replacement set.
  5. Inspect the property periodically to ensure compliance with the terms of the tenancy agreement. Three inspections are carried out, at the start of the tenancy, in the 6th month, and at the end of the tenancy. Additional inspections can be done upon request subject to an additional fee. We can do checks quarterly as part of our Full Management Plus package (to find out more about this package call in 0207 112 8822).
  6. Collect, protect and hold the tenants’ security deposit for the duration of the tenancy with one of the authorised Tenancy Deposit Protection Schemes (no additional charge when choosing our Management Service).
  7. Take responsibility for the day to day management of the property, arrange any repairs, maintenance or replacements to the property or contents which come to or are brought to our notice and which we consider is necessary, up to an estimated cost of £250 for any one item or job, the Landlord being responsible for the cost involved. Where the estimated cost exceeds £250, notifying the Landlord who will be responsible for arranging and paying for such work or replacement. We will always notify you of any works of repair or maintenance required irrespective of its cost however we will tend to proceed with any works up to £250 unless otherwise instructed.
  8. Use our approved contractors to undertake all works required unless you have specifically advised us in writing of the details of any guarantees, service agreements or warranties which apply to the property or contents.
  9. Make payment of certain regular outgoings provided we have agreed to do so separately in writing and that sufficient funds are held in credit by virtue of rental received from the tenant.
  10. We will receive future rent payments from the tenants preparing and forwarding to The Landlord and/or their accountant financial statements on a monthly basis, and remitting the balance of rental payments within 3-5 working days of the agreed due date however this is dependant on the rent being received in a timely fashion. Please not we will attempt to make payment immediately the agreed due date arrives.
  11. Rent collection does not imply debt collection, though every effort other than legal action is taken to obtain any monies owed. Legal action is taken at the Landlords instruction and expense. We will take appropriate action to remedy any breach of tenancy conditions or arrears of rent.
  12. Once our tenant moves out we will see to it that the property is ready to be re-tenanted carrying out on behalf of the landlord all end-of-tenancy procedures commissioning works where necessary chargeable to the party necessary dependent on the nature & purpose of the works.
  13. We take responsibility in arranging renewals of the agreement or alternatively begin remarketing the property in order to re-let the property to new tenants making every endeavour to avoid any void periods.
  14. If requested to do so by the Landlord we will serve the relevant Notice on the Tenant at no charge as part of the Management Service. We will arrange for the property to be remarketed.
  15. Arrange for the Tenant to be checked out of the property by an independent, Inventory Company and we will provide the Landlord with a report from which to establish reasonable deductions, if any, from the security deposit. We require that you confirm your instructions within 10 days of receiving the report. If after this time we have not received your instructions, you irreversibly authorise us to assess such deductions on your behalf. We will negotiate and agree deductions with the Tenant and obtain any estimates which may be required. In all such negotiations, we are obliged to remain impartial and equitable. In the event that the parties cannot agree, we will refund to the Tenant the balance of the security deposit which is not in dispute and refer the matter to the Dispute Service.
  16. If requested, we will arrange for any repairs, redecoration, replacements or cleaning as required payable from the tenants’ deposit at the end of the tenancy.
  17. Be appointed, in the absence of contrary agreement, for the duration of the Tenancy as defined above, subject to the right of either party to terminate on giving two months written notice. Such termination is without prejudice to the Agent’s right to commission payable for the Let Only - Introduction Service
  18. Our Property Management Service does not apply at any time when the Property is vacant and/or unoccupied, and does not include the redirection of mail – we will be happy to supply the tenant with a forwarding address.
